How to Plan a Corporate Wellness Day for 50, 100 or 200 Employees

A practical planning guide for HR: how group size changes stations, scheduling and space for an on-site wellness day.

Start with the time employees have

The biggest constraint is usually how long people can step away. Decide this first, then choose stations that fit — a short massage slot, a quick screening, a drop-in smoothie bike.

The headcounts below are planning examples only. Actual capacity is confirmed in your quote.

Around 50 employees

A smaller group can often be served by a couple of stations in one space. Timed slots work well, and you may be able to let everyone visit every station.

Around 100 employees

Consider releasing departments in waves and running several stations at once so queues stay short. A booking sheet for massage or screening slots helps.

Around 200 employees

Larger groups usually need more practitioners per station, more hours, or a choice of stations rather than all of them. Drop-in stations such as giant games or a smoothie bike help spread people out. For shifts or multiple sites, plan separate sessions.

Checklist

  • Confirm date, hours and venue access
  • Book spaces: a private area for screenings and massage, open space for activities
  • Tell employees what’s on, and that screenings are voluntary
  • Nominate one internal contact for the day
